What
PKB tracks each letter, whether the patient has read it before the health care provider has to post the letter.
PKB provides this tracking information to the organisation's letter-posting system. The letter-posting system only posts letters to patients who have not read them digitally in PKB. The organisation saves money by avoiding postage without risking missed appointments from patients who never got to read the letter.

Many letters can be sent to PKB, including appointment letters, discharge summaries, and clinic letters. A full list is beside.
How
A mail (postal company) partner will process documents received from an organisation and send these digitally to PKB using an HL7 message. (The organisation can check the registration status of the patient on PKB and, if eligible, may invite the patient to sign up to PKB using generated tokens).
If documents sent digitally to PKB are not read, the mail partner can send them in the post by querying the read status of the document in PKB using the read receipt query.
The patient will receive a notification that they have a new document in has been added to their record - they . They click the hyperlink to open the message and view the document as a PDF.

Queen Victoria Hospital NHS Foundation Trust
Queen Victoria Hospital (QVH) is the latest trust in Sussex to go live with PKB and a hybrid mail partner. They have been sending new appointment letters to PKB since February 2024 and are already seeing the benefits. So far, they have made enough carbon savings to fly from London to Paris 17 times!

Letter Rules
Hospitals decide when documents should be posted. For example, for an appointment ten days away, the customer implements a rule that a postal copy is sent if the letter is unread within 72 hours, a postal copy is sent. These rules are configured with the support of PKB Integrations and the Hybrid Mail partner.
