Organisation Team Structure
Patients Know Best is built to scale across teams, organisations and counties using the patient as the integrator.
This deploy section describes the benefits and best practices of organisation-wide rollouts. For more information on how to roll out PKB at scale in your Organisation, please contact the PKB support team here.
Overview
Within each organisation, there are four primary roles, with different levels of access and responsibilities required for each.
Patient Record Team
All patient records are created in the Patient Record Team (PRT)
The PRT has no access by default, and no professionals are added, meaning any professionals in the organisation cannot see any data in the patients PKB record until they are added to a speciality team
Patient records are populated with their healthcare data from the organisation prior to registration and consistently updated thereafter
Within the PRT
The Data Quality team, for investigating data issues (logging in as a professional in PRT and breaking glass/adding general health)
PRT Coordinator manages the organisation's central library, the PRT welcome message, password resets, any organisation care plans templates, ie the NHSE decision support tool care plans etc
The Success PM completes all training for the PRT as a one-off training. The organisation trainer completes all other speciality team training for professionals and coordinators
Speciality teams
Patients get added to speciality teams when the team go live with PKB
Patients can be added automatically to teams through PKB’s HL7 API
Patients can be added to multiple speciality teams
Each speciality team sets up its own default consent levels (from general, sexual and mental health as well as social care)
Multi-team approach
Patients will receive an email, letter or text message inviting them to register with their PKB record, (either the PRT or a speciality team)
When the patient registers, they will see all the teams they were already linked to before their email address was added
The patient gets a walkthrough of the teams and the default consent for those teams
Team professionals
Professionals can be added to relevant speciality teams
Bulk upload of all professionals in a team can be done via CSV
Manually invite via a coordinator in the relevant team one by one
Professionals can be uploaded to more than one speciality team due to the multi-team functionality
Their passwords can be reset by the coordinator of their speciality team
Professionals who want access to a patient need to bring the patient into the speciality team before they will be able to view the patient's record
In an emergency, professionals can break the glass to see the patient's full PKB record
The coordinators
The PRT needs to have at least two permanent IT staff as the team coordinators to manage the live site for the organisation
Each speciality team will need to have two coordinators
PKB gives one person the ability to be a coordinator in multiple teams using the same login and password
Actions for the speciality team coordinators
Care plans - once the team has decided which care plans they want to use with their patients, these templates get added by the speciality team coordinators
Managing the team library
Onboarding, deactivating, and resetting professionals' accounts
